What this covers
This policy explains how Eizen Corporation handles personal information submitted through the Ottawa Adult Rec Hockey League registration site and related captain and timekeeper communications.
Information we collect
We may collect your name, email address, phone number, team name, previous division, team preseason answers (skill assessments, approximate roster experience, day and start-time preferences, omit dates, package confirmation, full-time overlap with other teams and optional names of those teams, and jersey colour), package and region selections, add-on interests, custom scheduling requests, free-agent position, experience, location and availability preferences, questions you send us, and the email address you submit to join the mailing list. We also receive basic technical and usage information through website hosting and analytics services.
How we use it
We use this information to administer team pre-registration and free-agent interest, assess possible team placement and plan schedules, respond to questions, communicate about availability and payment timing, organize captain consultations, send receipts and secure edit links, send requested mailing-list updates and announcements, and improve the registration experience. The preseason form can also collect co-captain names and email addresses, a preferred September payment method, and requested credit card and e-transfer amounts for staff follow-up. These details are available to authorized league staff and in private operational exports. Adding a co-captain does not create an account or grant access. We do not collect card numbers or card security codes through these forms; card payments are handled separately through Stripe.
Service providers and disclosure
We may use trusted service providers for hosting, database storage, email delivery, analytics and operational records. They receive information only as needed to provide those services. We do not sell personal information. We may disclose information where required by law or where necessary to protect our rights, users or services.
Timekeeper interest
For timekeeper recruitment, we use the name and email address supplied to the league to send a personalized invitation. We record whether you are interested and, if so, the full name and email address you enter for follow-up, your facility preference, transportation availability, willingness to work a single game, access to a second device, and comfort using apps. We use these details and answers to plan timekeeping and follow up about opportunities. Authorized operations staff can review responses and distinguish your submitted contact details from the original invitation recipient. A declined response does not require additional contact details. Invitation links are private and should not be forwarded; these forms are excluded from site analytics.
Retention and safeguards
We retain information for as long as reasonably necessary for the purposes described above, including operating the upcoming season and responding to follow-up requests. We use reasonable administrative, technical and organizational safeguards, but no online service can guarantee absolute security.
Your questions and requests
You may ask to access or correct personal information we hold about you, withdraw a contact request, unsubscribe from the mailing list, or ask a privacy question by emailing info@oarhl.ca. We may need to verify your identity before completing a request.
Changes to this policy
We may update this policy as the registration experience changes. The effective date above will identify the latest version.
